This Privacy Policy explains how Salesoo International, s.r.o. ("we", "us", "Salesoo") processes personal data of visitors and users of the salesoo.cz website and related services. We act in accordance with Regulation (EU) 2016/679 (GDPR) and Czech Act No. 110/2019 Coll.

2. Scope of this Policy
This policy covers personal data we process in connection with:
visits to our website salesoo.cz,
demo flows and interactive product previews,
contact, pilot request and prospect forms,
the user portal or other self-service areas we may provide,
any communication you initiate with us (email, call, meeting).
This policy does not apply to the processing activities of our customers when they use Salesoo for their own purposes as independent controllers.
3. Categories of Personal Data We Process
3.1 Contact and inquiry data
When you submit a form or contact us, we may process:
name and surname,
work email address and optional phone number,
company name and role,
content of your message and any attachments you send us,
date, time and language of the submission.
3.2 Prospect generation inputs
When you use our demo flows or prospect/pilot inputs, we may process:
website URLs and public information you submit about your company or ICP,
ICP description, sales goals, target segments, target countries and exclusions,
examples of your existing clients or target accounts you choose to share,
free-text briefing you provide to define what “good fit” means for you.
These data typically relate to your role in a company (B2B context). You should not provide us with any special categories of data within these inputs.
3.3 Generated outputs
In connection with the provision of Salesoo outputs, we may process:
generated company shortlists and profiles,
dossiers, notes and prioritisation scores,
draft email texts and messaging suggestions,
any comments or feedback you give us about the outputs.
Where these outputs contain personal data (for example, contacts for decision-makers), we only include such data where they are available from lawful sources and relevant for B2B prospecting.
3.4 Technical and usage data
When you use our website or demo:
IP address and approximate location (city/country level),
browser type and version, device type, operating system,
pages visited, buttons clicked, time spent and navigation patterns,
error logs and performance data necessary to secure and operate the service.
We collect these data only to the extent necessary to run, secure and improve our website and demo flows.
3.5 Account and pilot data (where applicable)
If we provide you with access to a portal or pilot environment, we may process:
login identifier (typically email),
basic account settings and preferences,
history of your interactions with the product during a pilot.
4. Sources of Personal Data
We obtain personal data:
directly from you (forms, emails, calls, meetings, demo usage),
from your use of our website and demo (technical and usage data),
from publicly available sources such as company websites, public registers and professional profiles, where lawful,
from reputable third-party providers that supply B2B company and contact data, always under appropriate contracts and in accordance with GDPR.
We do not knowingly collect data from children and our services are aimed at business users only.
5. Purposes and Legal Bases of Processing
We process personal data only when we have a clear purpose and legal basis.
5.1 Handling inquiries, demo and pilot requests
Purpose: To respond to your inquiry, provide information about Salesoo and set up demos or pilots you request.
Legal bases:
Art. 6(1)(b) GDPR – processing is necessary to take steps at your request prior to entering into a contract,
Art. 6(1)(f) GDPR – our legitimate interest in responding to B2B inquiries and developing our business.
You are not obliged to provide your data, but without basic contact details we cannot respond to your request.
5.2 Providing pilots, demos and generated outputs
Purpose: To deliver prospect lists, dossiers, signals and other outputs as part of a demo or pilot project.
Legal bases:
Art. 6(1)(b) GDPR – performance of a contract or steps taken at your request,
Art. 6(1)(f) GDPR – our legitimate interest in testing and improving Salesoo based on pilots.
5.3 Product improvement and service analytics
Purpose: To understand how our demo and website are used, improve relevance of results, detect problems and enhance user experience.
Legal basis:
Art. 6(1)(f) GDPR – our legitimate interest in improving and securing our services.
At the moment, we use only strictly necessary technical data and local storage for this purpose. If we introduce additional analytics or marketing cookies that are not strictly necessary, we will ask for your consent and update this policy.
5.4 Security, fraud prevention and legal claims
Purpose: To ensure the security of our systems, prevent misuse and enforce or defend legal claims.
Legal bases:
Art. 6(1)(f) GDPR – our legitimate interest in protecting our business and services,
Art. 6(1)(c) GDPR – compliance with legal obligations, where applicable.
5.5 Marketing communication (optional)
Purpose: To send you information about Salesoo, new features or content that may be relevant for you.
Legal basis:
Art. 6(1)(a) GDPR – consent, if you explicitly subscribe to marketing updates,
or Art. 6(1)(f) GDPR – legitimate interest in B2B direct marketing, where permitted and balanced with your rights.
You can opt-out of marketing emails at any time using the unsubscribe link or by contacting us.
6. Cookies and Local Storage
Our website and demo may use:
strictly necessary cookies or local storage entries required to serve content, remember your language or session state, or prevent abuse,
small local storage items to remember your preferences (for example, whether you have seen a particular message or UI hint).
We do not currently use any third-party analytics or advertising cookies that track you across websites. If we decide to use additional cookies (for example, product analytics or A/B testing tools that are not strictly necessary), we will display a clear notice, collect your consent where required and update this policy.
Your browser usually allows you to delete or block cookies and local storage entries. However, some parts of the site may not function correctly without strictly necessary items.
7. Recipients of Personal Data
We may share personal data with the following categories of recipients, only to the extent necessary and under appropriate contracts:
hosting and infrastructure providers,
providers of databases, backup and security tools,
email and communication service providers,
trusted AI and data processing providers used to generate or enrich outputs,
professional advisors (such as legal or accounting services), where necessary,
public authorities, if required by law.
We do not sell your personal data.
When we use external providers, we ensure they offer sufficient guarantees to protect your data in accordance with GDPR.
8. Transfers outside the EU/EEA
Some of our service providers may be located outside the European Union or the European Economic Area.
If we transfer personal data to a country without an adequacy decision by the European Commission, we do so only:
on the basis of standard contractual clauses or other appropriate safeguards, and
with additional technical and organisational measures where needed.

9. Retention Periods
We store personal data only for as long as necessary for the purposes described above:
contact and inquiry data: typically up to 24 months from the last communication, unless we are in an ongoing negotiation or relationship,
pilot and demo data: for the duration of the pilot plus a reasonable period (usually up to 12 months) for evaluation and follow‑up,
technical and usage data: usually for several months, depending on log rotation and security needs,
marketing data: until you withdraw your consent or object to receiving marketing communication,
data necessary for legal obligations or dispute resolution: for the period required by applicable law or until the relevant claim is resolved.
After the retention period expires, data are deleted or irreversibly anonymised.
10. Processing of B2B contact data
Salesoo is designed for B2B use. Where we process contact data of decision‑makers and professionals at companies (for example, as part of generated outputs), we do so only if:
the data are relevant to the business purpose (sales, partnerships, B2B outreach),
the data come from lawful sources such as company websites, professional directories or providers that themselves comply with GDPR, and
the processing is limited to professional context (work email, role, company, public professional profile).
We do not encourage or require our customers to upload sensitive or excessive personal data into Salesoo. If you believe we process your professional data and you wish to object, you can contact us as described below.
11. Your Rights
Under GDPR, you have the following rights in relation to your personal data:
Right of access – to obtain confirmation whether we process your data and to receive a copy,
Right to rectification – to have inaccurate or incomplete data corrected,
Right to erasure – to request deletion of your data in certain cases,
Right to restriction of processing – to limit how we process your data under specific circumstances,
Right to data portability – to receive data you provided in a structured, commonly used and machine‑readable format and transmit them to another controller,
Right to object – to object at any time to processing based on our legitimate interests, including profiling and B2B direct marketing.
Where processing is based on your consent, you may withdraw your consent at any time. This does not affect the lawfulness of processing carried out before withdrawal.
